Friends who have used Indesign know that this software is very convenient, and many of its features are not found in other software. This software is very powerful, but because some people are not used to it, it feels very uncomfortable to use. Taking its directory generation function as an example, a friend who first contacts may feel that this function is cumbersome and not easy to use. Actually, if you can fully understand the meaning of each setting and practice it, you will find that its directory generation function is very convenient, and the generated directory is also very standard. This article discusses this in detail.
1. Clear catalog items (defining heading style)
Before generating the directory, first make sure what is going to appear in the directory? Such as chapter headings, section headings or section headings, etc. For example, a book with a three-level title may be referred to as a first-level title (equivalent to a chapter title), a second-level title (equivalent to a section title), and a third-level title (equivalent to a section title). In order for these titles to appear automatically in the directory, of course, the format of their titles should be unified, that is, first define these titles as styles. To this end, we define three paragraph styles, one-level title, two-level title and three-level title, in the paragraph style.
In order to fully understand the reader: we first explain the style. In Indesign, a style is a collection of formatting attributes. That is, all of these format attributes are first defined, and can be applied to the corresponding object in one step in the future.
The method for defining the paragraph style is as follows: Click the new button in the paragraph style panel, and then modify the relevant parameters of the paragraph (such as font, font size, segment before and after the segment) in the dialog box that is displayed, and finally determine.
Then apply these paragraph styles to the corresponding headings in the body text. As shown in Figure 1:
2. Define the item style
After the paragraph styles of the title are defined, the next thing to do is to define what appearances (ie, formatting) will appear in the directory entries in the future, that is, their fonts, font sizes, etc. in the directory. In Indesign's directory function dialog, this setting is called the entry style. So we may wish to call them a first-level entry, a secondary entry, and a third-level entry, in the same way as above. That is, the format of the three titles in the directory in the future is the format of the first-level entry, the second-level entry, and the third-level entry.
(Note: These three entry styles are also defined in the paragraph style panel). Special note: The heading style determines which items are eligible to appear in the catalog, and the item style determines what appearance (format) these items appear in the catalog.
At this time, it is important to note that in defining the item style, in addition to setting the basic parameters of the font size, the preamble between the item and the page number and the position of the item are also set. We can use tabs to set them in the paragraph style dialog box. As shown in Figure 2, you can set the position of the item by pulling the symbol on the ruler. Enter the ellipsis in the leading option box.

3. Define the directory title style
The next step is to define the paragraph style of the word "directory". Of course, its format can also be modified and then modified. However, in order to unify the automatic generation, or to define it in the paragraph style, we can define it as the "directory title" style.
4. Define page number style
There is also a paragraph style that needs to be defined in advance, that is, the style of the page number. We define it as "page number style", and the page number style determines what aspect (format) the page number appears in the catalog.

In addition, we also need to insert the corresponding blank page before the body to prepare to accommodate the directory to be generated, and we all know that the directory page usually does not occupy the page number. In view of this, the first page of the body must be used as the starting page. Select the first page of the body in the "Page" palette, then right-click to open the "Page Number and Chapter Options" dialog box, select "Start Page Number", as shown in Figure 4.
The above is the preparation work to be done before the directory is generated.
5. Generate directory
Select "Layout/Directory" to open the directory generation dialog.
Option 1: is the directory style, here is the name of the directory style you generate next. As we have named "Directory Style 1". The title option box below is of course the word "directory". The style selects the paragraph style of the "directory title" we just defined.
Option 2: Styles in the catalog, here are the titles that use the relevant paragraph styles. We added all the paragraph styles of the first-level title, the second-level title, and the third-level title that were previously defined. Note that each time you add one, you must set the item style of the title, that is, the title style has a one-to-one correspondence with the item style. As indicated by the wireframe in the figure, see Figure 5.
Option 3: Page number setting. There are two option boxes. The first option box prompts you to select the page position. There are three options: "after entry", "bar current" and "no page number". The general directory is "after the entry", the second The option box is the style of the page number, which has been previously defined in the paragraph style, ie "page code style". In the next item and page code option box, select "tab" as shown in Figure 2, and select "None" for the style.
The rest of the options use the default, and the entire directory is now set. If you want to save this directory style, click "Storage Style". If you don't want to store it, just click "OK" and the generated directory will be as shown. Six is shown. If the generated directory is incorrect, you can modify the relevant errors and then use the command "Layout/Update Directory" to update the directory.
6. Summary
The key to the directory generation feature in Indesign is to understand the meaning of the style and be proficient in the style. There are four styles to define before generating the directory: title style, entry style, directory title style, page number style. The heading style determines which items are eligible to appear in the catalog, and the item style determines what appearance (format) these items appear in the catalog. The catalog heading style determines the format of the "directory" title, and the page number style determines The page number appears in what format in the directory.
